Track lots and expiry dates
Receive goods in batches with a lot number and an expiry date, so sales take the oldest first and you see what is about to expire.
For food, medicine and anything that goes off, track stock by lot. Each delivery gets a lot (batch) number and an expiry date. Sales take the lot that expires first, and Inventory warns you about lots that are close to their date.
Steps
-
Set the product to track lots. Edit the product and choose By lot (batches, with expiry dates) under Lot and serial numbers. Save.
Track the product by lot -
Receive stock as usual. Open the product and click Receive stock. Enter the quantity and the cost.
Receive stock -
Enter the lot number and expiry date. The lot box appears below the quantity. A delivery with one lot needs only the number and the date: it takes the whole quantity.
Lot number and expiry -
Split a delivery into several lots. Click + Add lot and give each lot its quantity. The total must match the quantity received.
Split into lots -
Click Receive stock. The product page lists each lot with its expiry date and where it is.
Lots on the product -
Watch what is expiring. The Inventory overview lists lots under Expiring soon, marked Expires soon (within 30 days) or Expired.
Expiring soon
Tip On the Lots tab, choose Expiring within 30 days to plan a promotion before it is too late.
Good to know
- Invoices, register sales and deliveries take the lot that expires first (then the oldest), and the lot numbers are shown on the stock move.
- Stock received before you turned lots on shows as No lot. Count it lot by lot to sort it out.
- The same lot boxes appear on purchase receipts and on manufacturing orders.
