Terms of Service
Last updated: 2 November 2026
1. Who we are
Owlvix ERP ("the Service") is provided by Owlvix ("we", "us"). By creating an account or using the Service you agree to these terms on behalf of yourself and the business you register ("you", "your company"). If you don't agree, please don't use the Service.
2. Your account
- You must give accurate details and keep your login safe. You are responsible for everything done under your account and by the people you invite.
- The person who signs up is the account owner and controls the company's subscription, users and data.
- You must be old enough to make a binding contract where you live.
3. Trial, plans and payment
- New companies get a free trial. When it ends you need a paid plan to keep using the Service.
- Prices are shown on our pricing page, in your billing currency, before tax. Plans and add-on modules are billed monthly or yearly in advance and renew automatically until cancelled.
- Adding modules or users during a period is charged straight away for the rest of the period; removing them is credited against later bills.
- Card payments are handled by our payment provider (Stripe). If a payment fails we may pause access until it's paid.
- We may change prices with at least 30 days' notice; changes apply from your next renewal.
4. Cancelling
You can cancel at any time from the billing page. You keep access until the end of the period you've paid for. Payments already made are not refunded, except where the law requires it.
5. Your data
- Everything your company enters (customers, invoices, products, employees and so on) belongs to you. We only use it to provide the Service to you.
- You are responsible for having the right to the data you enter, including personal data about your customers and staff, and for meeting the laws that apply to your business (for example tax, invoicing and employment rules).
- You can export your data while your account is active. After an account is closed we keep the data for 90 days so you can come back, then delete it, unless the law requires us to keep it longer.
- How we handle personal data is explained in our Privacy Policy.
6. Acceptable use
Don't use the Service to break the law, send spam, store harmful code, try to access other companies' data, overload or attack our systems, or resell the Service without our written permission.
7. The Service
- We work hard to keep the Service available and your data safe, including nightly backups, but we can't promise it will never be interrupted. We may take it offline briefly for maintenance.
- Figures such as tax returns, payroll and e-invoices are produced from the data you enter. Please check them, or have an accountant check them, before you file or pay. They are not tax, legal or accounting advice.
- We may improve or change features over time. If we remove a module you pay for, we'll tell you in advance and stop charging for it.
8. Liability
To the extent the law allows, the Service is provided "as is", and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim. We are not liable for indirect or consequential losses such as lost profits or lost data that could have been prevented by your own checks. Nothing in these terms limits liability that cannot be limited by law.
9. Ending the agreement
We may suspend or close an account that breaks these terms or doesn't pay, after giving notice where reasonable.
10. Changes and contact
We may update these terms; we'll tell account owners about important changes before they take effect. Questions: hello@owlvix.com.
