Turn a quotation into a sales order and invoice

Confirm a quotation the customer agreed to, then create the invoice from the sales order in one click.

When a customer says yes, confirm the quotation. It becomes a sales order: the agreed sale. From the order you create the invoice, without typing the lines again.

Steps

  1. Open Sales & Invoicing, then Quotations. The filters at the top show Quotations, Sales orders, Fully invoiced and Cancelled. Open the quotation your customer agreed to.

    Your quotations
  2. Click Confirm. The quotation is now a sales order. What happens next tells you what is left to do. (When the customer accepts online, this happens by itself.)

    Click "Confirm"
  3. Click Create invoice. Everything on the order that isn't invoiced yet goes on a new draft invoice.

    Click "Create invoice"
  4. Check the draft. Click Edit to change it, for example to bill only what you delivered so far. The rest stays open on the order for a later invoice.

  5. Click Issue invoice. The invoice gets its number and goes into your books. Then click Email invoice to send it.

    Issue the invoice
  6. Back on the order. The sales order lists its invoices and the invoiced quantity of each line. When everything is billed, it shows Fully invoiced.

    Linked to the order

Tip Billing in parts (a deposit, then the rest)? Create the first invoice, edit the quantities down, and issue it. Click Create invoice again later for the rest.

Good to know

  • A sales order doesn't post anything to your books; the invoice does.
  • The invoice shows From SQ-… with a link back to its order.
