Let customers accept and sign quotations online
Your customer opens the link in the quotation email, signs with a finger or mouse, and the quotation becomes a sales order.
Every quotation you send by email carries a private link. Your customer opens it, reads the quotation, and accepts it with their name and signature, or declines it with a reason. You don't have to chase a signed PDF.
Steps
-
Send the quotation. Open it and look under Online acceptance: it waits for the customer's answer. (See Create and send a quotation.)
A sent quotation -
The customer opens the link. The link is in the email. You can also copy Customer link and share it in a chat message. The customer sees the quotation with your company details and a box to accept it.
What the customer sees -
They type their name, sign and agree. They sign in the box with a mouse or a finger and tick the box to agree to the quotation and its terms.
Name, signature, agree -
They click Accept and sign. They see a thank-you message, and you get a notification.
Accept and sign -
The quotation becomes a sales order. Back in Owlvix, the quotation is confirmed as a sales order, with their name, the time and the signature saved under Online acceptance. Now you can invoice it.
It becomes a sales order
Note If the customer clicks Decline instead, they give their name and a reason. The quotation shows it under Online acceptance, so you can follow up.
Good to know
- The link stops working for accepting once Valid until has passed, or when the quotation is cancelled.
- If you edit a quotation after sending it, send it again so the customer signs the latest version.
