Create and send a quotation

Offer prices to a customer with a quotation, email it with the PDF, and let them accept and sign it online.

A quotation (quote) tells a customer what you would charge. It doesn't touch your books or stock. When the customer agrees, it becomes a sales order that you can invoice.

Steps

  1. Open Sales & Invoicing, then the Quotations tab. Click New quotation.

    Quotations, then "New quotation"
  2. Pick the customer and check the dates. The quotation is valid for 30 days by default. Change Valid until if your offer runs out sooner.

    Set "Valid until"
  3. Add the lines. Search for a product: its price and tax fill in. Set the quantity, and a discount if you give one. Click + Add line for more.

    Add the lines
  4. Add payment terms and notes (optional). For example "50% upfront" and the delivery time. Both are printed on the quotation.

  5. Click Save quotation. It gets its number (for example SQ-0004). Save and confirm skips straight to a sales order when the customer has already agreed.

    Save the quotation
  6. Click Send by email. The subject and message are filled in and the PDF is attached. Type the address if the customer has none saved.

    Click "Send by email"
  7. Click Send. The status changes to Sent. The email has a link where the customer can read the quotation and accept and sign it online, or decline it.

    Send it

Tip Not sending it by email? Use Print or PDF, then Mark as sent so you know it went out.

Good to know

  • Use Duplicate to start a new quotation from an old one.
  • After Valid until passes, the customer can no longer accept it online. Edit the date to give them more time.
  • Cancel keeps the quotation on record; Set back to quotation brings it back.
