Create and send an invoice
Make an invoice for a customer, issue it to your books and email it with the PDF attached.
An invoice asks your customer to pay. When you issue it, Owlvix adds it to your books (sales and what the customer owes you), and you can email it straight away with the PDF attached.
Steps
-
Open Sales & Invoicing, then the Invoices tab. The list shows every invoice with its status and what is still due. Click New invoice.
Go to Invoices -
Pick the customer. Click the Customer field, type a few letters of the name and choose it from the list. A customer with their own currency switches the invoice to it. New customer? Click + New.
Pick the customer -
Check the dates. The issue date is today and the due date follows your payment terms. Click a date to change it in the calendar.
Check the dates -
Add the lines. Search for a product: its price and tax are filled in. Set the quantity, and a discount if you give one. For a service without a product, type a description and a price. Click + Add line for more.
Add a product and quantity -
Save and issue. Check the totals on the right and click Save and issue. The invoice gets its number (for example INV-0015) and is added to your books. Not ready yet? Save as draft keeps it editable.
Save and issue -
Email it. Click Email invoice. The address, subject and message are filled in and the PDF is attached. Change anything you like.
Click "Email invoice" -
Click Send. The email shows under Emails on the invoice, with the date it went out.
Send it
Tip Change the email text and your payment terms once for all invoices in Sales → Emails & reminders.
Good to know
- An issued invoice can't be edited, only voided (or corrected with a credit note). Drafts can be changed freely.
- When the customer pays, record it with Record payment on the invoice. The status changes to Paid or Partly paid.
- Overdue invoices show Send reminder instead of Email invoice.
