Record a customer payment
Mark an invoice as paid or partly paid when the money arrives, and see the payment in your books.
When a customer pays, record it on the invoice. The invoice shows Paid or Partly paid, and the money goes into your bank or cash account in the books.
Steps
-
Open the invoice. The Invoices tab in Sales & Invoicing shows what is still due on each invoice.
Open the invoice -
Find Record a payment. It is on the right of an issued invoice, filled in with the amount still due.
Record a payment -
Enter what you received. Change the amount for a part payment. Check Date received and pick the Method: bank transfer, cash, card or other. Add a Reference, such as the bank transaction number.
Add a reference -
Click Record payment. The status changes to Partly paid (or Paid) and Still due goes down.
Click "Record payment" -
Check the payment. It is listed under Payments. See it in the books opens the journal entry: money into the bank, and less owed by the customer.
The payment is booked
Tip Importing bank statements? The payment is matched with the bank line in Finance & Accounting → Bank, so you don't have to tick it off by hand.
Good to know
- For an invoice in another currency, also enter the rate your bank used. A different rate from the invoice is booked as an exchange gain or loss.
- Recorded the wrong amount? Ask your accountant to reverse the journal entry, then record it again.
