Owlvix ERP

Why does my stock show a negative number?

Stock goes below zero when you sell or use more than Owlvix knows you have. Receive the goods or count the shelf to correct it.

Video 40 s 4 steps Updated 5 Nov 2026

Owlvix never stops a sale because the system says you are out of stock: the goods are often on the shelf but not recorded yet. When more is sold than was received, On hand goes below zero and the product is marked Negative.

Find it

  1. Open Inventory → Products. Products below zero show a red Negative badge.

    Negative on the list
  2. Open the product. On hand is red, and Stock history shows the moves that took it below zero, such as an invoice.

    On hand below zero

Fix it

  1. The goods arrived but weren't recorded? Click Receive stock (or receive the purchase order, if you use Purchases) with the quantity and cost.

    Receive the goods
  2. Not sure what's really there? Click Count stock, enter what is physically on the shelf, and the difference is booked for you.

    Or count the shelf

Good to know

  • Stock sold below zero was valued at the last known cost. When the goods come in, the cost is corrected automatically.
  • Products set to To reorder show up in the To reorder filter, so you can buy before you run out.
