Create a role with view-only or full access
Decide what a group of people can open: for each module choose None, View or Full, then give the role to team members.
A role is a set of rights you can give to several people, such as "Sales assistant" or "Accountant". For each module you pick None (they don't see it), View (they can look but not change anything) or Full (they can do everything in it). Owners and admins always have full access, so roles are for members.
Steps
-
Open Team, then the Roles tab. In the menu on the left, under Account, click Team, then Roles. You see the ready-made roles (Accountant, Sales, Cashier, Warehouse, HR officer, Viewer) and how many people have each.
The Roles tab -
Click New role and give it a name and a short description, so others know what it is for.
New role: name it -
Choose a level for each module. Click Full, View or None on each row. To set every module at once, click the None, View or Full heading at the top of the column, then change the few that differ.
None, View or Full -
Click Add role. The role is listed with a summary of what it opens, for example Full: Sales & Invoicing · View only: Inventory, CRM.
Add the role
Tip The ready-made roles are a good start. Click Edit on one to change it instead of making a new role.
Good to know
- Each member has exactly one role. Give a role to someone on the Team tab (click Access on their row).
- Changes to a role apply straight away to everyone who has it.
- You can only delete a role nobody has. Move its members to another role first.
- Only modules your company has are listed. When you add an add-on later, existing roles get None for it until you change them.
- People with View see a View only badge at the top of the screen in that module.
