Change how document numbers look
Set the prefix and number of digits for invoices, quotes, bills, receipts and other documents, with the year in the number if you like.
Every document gets the next number in its own series: INV-0001, INV-0002 and so on. You can change how the numbers look (the prefix and the number of digits), but not the count itself, so numbers are never skipped or used twice.
Steps
-
Open Settings, then Numbering. Each type of document has its own row with a preview of the first and the 42nd number.
Open Numbering -
Change the prefix. Type a new prefix, for example
INV-{YYYY}-.{YYYY}becomes the year the document was made ({YY}gives two digits). The preview updates as you type.Change the prefix -
Set the digits (1 to 8), for example 5 to get INV-2026-00001.
Set the digits -
Click Save. The next new document uses the new format. Reset on a row brings back the default.

Good to know
- Numbers keep counting up; they don't restart each year, even with the year in the prefix.
- Documents already made keep their numbers.
- Prefixes can use letters, numbers,
-,_,.and{YYYY}or{YY}.
