Set up expense categories
Choose the categories staff pick for each expense, the account each one goes to in your books, and a usual tax rate.
Every expense an employee adds has a category, like Travel, Meals or Fuel. The category decides which expense account it is booked to, and can suggest the tax part of the amount.
Steps
-
Open the Categories tab. In Expenses, click Categories. You start with Travel, Meals, Fuel, Office supplies, Accommodation and Other.
Open Categories -
Add a category. In New category, type the Name and choose the Expense account in your books. Enter a Usual tax rate if most receipts of this kind include tax.
Add a category -
Click Add category. Staff can pick it straight away in My expenses.
Click "Add category" -
Change or archive one. Edit a row and click Save. Delete removes an unused category; one that is already used is archived instead, so old claims keep it.
Change or archive
Good to know
- No expense account chosen? It goes to Other Expenses.
- The usual tax only suggests the tax part. Staff can change it on each expense.
- An archived category can be used again: tick it off Archived and click Save.
