Booking emails, reminders and the customer's link
What customers get by email when they book, the automatic reminder the day before, and how they move or cancel online.
Owlvix takes care of the emails around a booking: a confirmation with a calendar invite, a reminder about a day before, and an email for every change. Each one has the customer's own link to move or cancel.
Steps
-
The customer's link. Every booking has a private page for the customer. You find its link on the booking, on the right. The same link is in all their emails.
The customer's link -
What the customer sees. When, with whom, where, and their details, with Need to change it? below, until the type's minimum notice.
What the customer sees -
They pick a new time. Pick a new time shows the free days and times, just like when they booked.
Pick a new time -
They confirm the move. The booking has its new time, and both the customer and your team member get an email.
Confirm the new time
Note The reminder goes out by itself about 24 hours before the appointment, once per booking. A booking made less than a day ahead gets no extra reminder: the confirmation does that job.
Good to know
- The confirmation email has a calendar file (.ics) the customer can add to their calendar.
- Cancelling online asks for an optional reason, which you see on the booking.
- After the minimum notice, the page asks the customer to contact you instead.
